Dental & medical clinic · Front desk

An AI front desk for dental and medical clinics

It answers the phone when your front desk is with a patient: takes appointment requests, answers questions about hours, location, services and insurance accepted, takes messages for the care team, and connects urgent calls to staff.

What the agent does on a call

Takes appointment requests

Name, date of birth, callback number, a few words on the reason for the visit, and preferred days and times. It tells the caller the office will call to confirm.

Answers clinic questions

Hours, location, services and insurance plans accepted, from what you've written down, and nothing it hasn't been told.

Takes messages

Prescription, records and billing questions become messages for the care team, with the details your staff need to call back.

Knows what it must not do

It never gives medical advice or interprets symptoms, tells callers with an emergency to call 911 (or 988 in a mental health crisis), and never confirms an appointment time itself.

How setup works

  1. 1Pick the Dental & medical clinic starter and type your practice's name.
  2. 2Add your hours, address, services, insurance plans accepted and new-patient policy.
  3. 3Add a transfer number for urgent calls that aren't emergencies.
  4. 4Run the readiness tests and call it in your browser, then get a number or forward your line.

The backend behind it

Actions, data tables and webhooks come with every plan, Free included. The call log and Inbox come with a phone number.

Inbox of appointment requests

Each request is captured as a record (new or existing patient, reason, preferred times) and flagged urgent when the caller describes worsening symptoms.

Call log

Recordings, transcripts and a short summary of every call, so staff can see exactly what was asked.

Webhooks

Send each captured request on to your own systems when it arrives.

A note on health information

Apollo doesn't offer a HIPAA business associate agreement yet, so the starter is built to collect only the minimum: a few words on the reason for the visit, never a full history. It never discusses another patient or confirms whether someone is a patient. Read the privacy policy before you use it for a practice.

Safety rules, built in

The dental & medical clinic starter follows these rules on every call, on top of anything you add.

  • Never give medical advice, diagnose, interpret symptoms or test results, or recommend medications or dosages. Say a clinician will need to answer that.
  • If the caller describes chest pain, trouble breathing, severe bleeding, stroke signs, thoughts of self-harm, or any emergency, tell them to call 911 (or 988 for a mental health crisis) immediately.
  • Only collect the minimum health information needed (the reason for the visit in a few words). Never discuss another patient or confirm whether someone is a patient.
  • Never confirm a booked appointment time yourself; say the office will call to confirm.
  • Never make up facts, prices, availability, or policies. If you don't know, say so and offer to take a message or transfer.
  • Never ask for or repeat payment card numbers, bank details, Social Security numbers, or passwords.
  • If someone describes an emergency or danger to life, tell them to hang up and call 911 right away.

Questions

Is Apollo HIPAA compliant?

Apollo doesn't offer a HIPAA business associate agreement yet. Don't use it to collect protected health information beyond a brief reason for an appointment, which is how the clinic starter is set up.

Will the agent give medical advice?

No. It's instructed never to diagnose, interpret symptoms or test results, or recommend medication. It says a clinician will need to answer, and directs emergencies to 911.

Can it put appointments straight into our calendar?

The starter takes requests and the office confirms them. If your scheduling system has an API, you can add an action that calls it.
