Frequently asked questions

How Apollo builds your AI phone agent, what it costs, and what happens to your calls. Can't find it here? Email jorgeochoareyes@gmail.com.

Getting started

What is Apollo?

Apollo is a voice agent builder. You describe the phone agent you want in plain words and Apollo builds it: the voice, the call flow, and the backend behind it (actions, data tables and webhooks). Then it puts the agent on a real phone number, or you forward the line you already have.

Do I need to write code or bring API keys?

No. You build by chatting, and agents, voices and phone numbers all run on Apollo's accounts, so there are no keys to paste. If you want to, you can edit an action's code or call the public API.

What kinds of businesses is it for?

Any business that answers the phone. There are ready-made starters for dental & medical clinic, home services, restaurant, law firm, real estate, salon & spa, auto repair and property management, each with its own call flow and safety rules. See use cases, or describe something else and build it from scratch.

How quickly can I have a working agent?

A starter agent works as soon as you type your business name, and you can call it in your browser straight away. Most of the setup time goes into adding what only you know: hours, prices, policies and where bookings should go.

Can I change what the agent says and does?

Yes. Keep chatting to change anything, edit the prompt in plain words, or open the call flow and redraw the steps: what to say, when to branch, which tool to call and when to hand off. Every save is live on the next call.

What languages can the agent speak?

English and 14 others: Spanish, French, German, Italian, Portuguese, Mandarin Chinese, Cantonese, Japanese, Korean, Vietnamese, Tagalog, Hindi, Nepali and Arabic. You choose the language for each agent, so a business that serves callers in two languages can run an agent for each.

Phone numbers & calls

Can I keep my existing business number?

Yes. Forward your current line to the number your agent gets; the dashboard checks your carrier and shows the exact steps, whether that's a star code on a landline or mobile, or a setting in your phone provider's console. You can forward every call, only when you're busy, or only when nobody answers. Or, on a paid plan, search an area code and get a new number. Read the forwarding guide.

Can the agent transfer a call to a person?

Yes. Add a transfer number and, when a caller asks for a human or needs something the agent can't do, the live call goes to your team.

Are calls recorded and transcribed?

On paid plans every call is in the call log with its recording, transcript and a short summary, and the details the agent captured land in your Inbox. The starters' greetings tell callers the call may be recorded.

Can I try the agent before it takes real calls?

Yes, on every plan. Call it in your browser, run readiness tests where an AI caller tries the hard cases, and share a talk link so others can try it. See how to test a voice agent.

Can the agent make outbound calls?

Yes, with outbound campaigns on Enterprise. A campaign calls a contact list (up to 5,000 contacts) from your own verified number, inside each contact's local calling hours, with do-not-call handling.

Pricing & billing

Is there a free plan?

Yes. Free includes 1 agent, the full build-by-chat backend, browser test calls and readiness tests. You pay once you want the agent answering a real phone number.

How much does it cost?

Starter is $49/month with 200 minutes; Growth is $129/month with 600 minutes; Pro is $299/month with 1,500 minutes. Enterprise is priced for your volume. See pricing for every limit, or read what an AI phone agent costs.

What counts as a minute, and what if I go over?

Talk time on real calls, inbound and outbound, counted to the second; test calls in your browser are free. Past your included minutes, calls keep getting answered at your plan's rate ($0.25/min on Starter, $0.22/min on Growth, $0.20/min on Pro) up to a monthly ceiling (600 minutes on Starter, 1,800 minutes on Growth, 4,500 minutes on Pro). At the ceiling your numbers pause until next month or an upgrade, so a busy line can't run up a surprise bill.

Is there a contract?

No. Plans are monthly and you can cancel any time from Team & billing; service runs to the end of the period you paid for.

Can I add more phone numbers or teammates?

Extra numbers beyond your plan's allowance are $3/month each. Team seats per plan: Free 1, Starter 2, Growth 5, Pro 15.

Restaurants

Can it take restaurant reservations?

Yes. The restaurant pack checks availability against your opening hours, tables per slot, largest party and slot length before it books, adds guests to the waitlist when a slot is full, and answers menu questions. See the restaurant page.

Does it work with my reservation platform?

Not today. Apollo keeps its own reservation book; outside reservation platforms only offer partner APIs. Bookings show up in the dashboard, and a webhook can send each one to your own systems.

How does the agent learn my menu?

Paste the menu, or upload a photo, PDF or spreadsheet, and it's turned into categories and items for you to review and save. The agent answers from it, never invents dishes or prices, and never promises a dish is free of an allergen.

Data, privacy & security

Who owns my call data? Is it used to train AI models?

You own your content: agent settings, recordings, transcripts and captured records. Apollo doesn't sell personal data and doesn't use your call data to train its own models. Details are in the privacy policy.

Can I delete calls and recordings?

Yes. Delete a single call, an agent or a whole workspace from the dashboard and its recordings, transcripts and captured details are removed, including from our providers, within 30 days.

Does the agent take card payments or other sensitive details?

No. Every agent is instructed never to ask for payment card numbers, bank details, Social Security numbers or passwords, and captured records remove card and Social Security numbers automatically.

Can I use it for a medical or dental practice?

Yes, for appointment requests and clinic questions. Apollo doesn't offer a HIPAA business associate agreement yet, so don't collect protected health information beyond a brief reason for the visit, which is how the clinic starter is set up.

Technical & integrations

What are actions?

Things your agent does mid-call, like looking up an order or checking stock. Describe one and Apollo drafts it as hosted code that runs in a sandbox, can call any HTTPS API with secrets you save, and can read and write the agent's tables.

Does it connect to my CRM, calendar or other tools?

There are no one-click integrations. Connect any system that has an API with an action, or send events out with webhooks (up to 10 endpoints), which works with automation tools that accept webhooks. Everything the chat can do is also in a documented public API.

Which webhook events are there, and are they signed?

call.ended, inbox.item_created, data.row_created, data.row_updated, booking.created, booking.cancelled and campaign.completed. Each delivery is signed with HMAC-SHA256 using your endpoint's secret, retried with backoff up to 5 times, and logged.

Describe your agent. Call it in a minute.

Building and testing are free. Pick a plan when you want it answering a real phone number.
